INVITATION TO BID
HVAC REPLACEMENT –
Y BUILDING COUNCIL ROOM AND OFFICES
The City of Eldon, Missouri is accepting sealed bids from qualified contractors for the removal and replacement of heating and cooling equipment serving the Council Room and offices at the Y Building. Bidders are requested to submit pricing for the two alternatives described below. Each bid option should be priced separately and clearly identified.
BID OPTION 1 –
4-TON SYSTEM
The bid shall include all labor, equipment, materials, removal, disposal, installation, connections, and other work necessary to provide a complete and operational HVAC system.
Equipment and Scope:
• One (1) 88,000 BTUh gas furnace, upflow/horizontal configuration.
• One (1) 4-ton air conditioning system.
• Remove two (2) existing gas furnaces and existing 3-ton air conditioning equipment.
• Install one (1) new 88,000 BTUh gas furnace and one (1) new 4-ton air conditioning system.
• Provide separate thermostat controls consistent with the existing configuration.
• Complete all necessary connections and modifications required for proper operation of the new equipment.
BID OPTION 2 –
TWO 3-TON SYSTEMS
The bid shall include all labor, equipment, materials, removal, disposal, installation, connections, and other work necessary to provide complete and operational HVAC systems.
Equipment and Scope:
• Two (2) 88,000 BTUh gas furnaces, upflow/horizontal configuration.
• Two (2) 3-ton air conditioning systems.
• Remove two (2) existing gas furnaces and existing 3-ton air conditioning equipment.
• Install two (2) new 88,000 BTUh gas furnaces and two (2) new 3-ton air conditioning systems.
• Provide separate thermostat controls consistent with the existing configuration.
• Complete all necessary connections and modifications required for proper operation of the new equipment.
CONTRACTOR REQUIREMENTS
The successful bidder shall:
• Maintain appropriate liability insurance and provide proof of insurance as required by the City.
• Possess or obtain a valid City of Eldon Business License prior to beginning work.
• Be responsible for obtaining any permits required for the project.
• Perform all work in accordance with applicable federal, state, and local laws, regulations, building codes, mechanical codes, safety requirements, and manufacturer specifications.
• Be responsible for the proper removal and disposal of existing equipment and materials.
• Provide all labor, supervision, equipment, tools, materials, and incidentals necessary to complete
the project.
Bidders should identify the manufacturer, model, efficiency ratings, warranty information, and
anticipated completion timeline for the equipment proposed.
BID SUBMISSION AND
OPENING
Sealed bids must be received by the City of Eldon no later than 2:00 p.m. on Thursday, September 3, 2026.
Bids shall be submitted in a sealed envelope clearly marked:
“SEALED BID – Y BUILDING HVAC”

It is the responsibility of the bidder to ensure the bid is received by the City prior to the deadline. Late bids will not be considered. Bids will be publicly opened and read aloud at 2:00 p.m. on Thursday, September 3, 2026, at Eldon City Hall, 101 S. Oak Street, Eldon, Missouri 65026.
GENERAL CONDITIONS
The City of Eldon reserves the right to reject any or all bids, to waive any informalities or irregularities in the bidding process, and to accept the bid deemed to be in the best interest of the City of Eldon. The City is not obligated to accept the lowest bid. In evaluating bids, the City may consider price, qualifications and experience of the bidder, proposed equipment, warranties, anticipated completion schedule, ability to perform the work, and other factors determined to be relevant to the successful completion of the project.
Submission of a bid constitutes acknowledgment that the bidder has reviewed the project requirements and has included all costs necessary to complete the work described.
The successful bidder shall comply with all applicable federal, state, and local laws and regulations.
